About RootRez

Who is RootRez?

RootRez is a Park City, Utah based software company that provides white-label booking engines. Founded in 2009, the company was built on the ideology of creating technology that was by hoteliers for hoteliers. We power the booking engine for popular brands in a variety of industries, such as Destination Marketing Organizations, world-class events, ski & summer resorts, and more. Brands choose to either license our software and create their booking engine or employ us to manage and build all aspects of their lodging platform. In other words, we're the wizard behind the curtain for many white-label booking engines.

How do I get started?

Ready to integrate a booking engine on your website? Contact our sales team to work out the finer details of the setup process. Then, we'll take it from there. We will build and customize your booking engine and deliver it to you. In the meantime, explore our pricing models to see what version works best for your business goals.

How does the RootRez Managed product work?

For those wanting to better serve their customers and gain new revenue in a simple way, we offer a product that is built and managed by our team. In this version, we work with you to set up the booking engine in the way you want it and help you integrate it onto your site. Then, our team manages the rest. This model can include hotel contracting and onboarding, market management support, 7 days/week call center, and invoicing assistance.

How does licensing your product work (SaaS)?

If you are looking to maximize your revenue opportunities from the booking engine, want more freedom to manage it, or are looking to pass on savings to your hotel constituents, you can choose to license our software. In this model, we will teach you how to use our software and then help you implement a booking engine hosted on our servers onto your website. Then, your team will be responsible for the operations of the booking engine, including supplier, content, inventory and rate management, all of which is easily managed within the RootRez CRS.

Who hosts the engine?

The booking engine will exsist on a subdomain of your website that is hosted by our team. There are options to host the booking engine on your own webpage if you would like to.

Do we have to do development?

No. Our system is easy to learn and requires no development resources. Once the booking engine is built, we will consult you on how to add the booking link and date picker onto your webpage. It's as easy as copying and pasting pre-existing code.

How do you ensure guest information is safe?

All of our systems are PCI and GDPR compliant. Only certain users have access to guest information which is controlled by you and your team.

What technologies do you connect to?

Currently, we offer a direct connection for inventory and rates using Instant Software by HomeAway (ISI Link), Sabre GDS, TravelClick/iHotelier, Inntopia, DerbySoft, SiteMinder and Expedia Affiliate Network. If your system does not connect through one of these software programs, you can also load rates, inventory/room blocks into the RootRez CRS as a manual extranet.

What should I do if I want to build a booking engine but don't know any local hoteliers?

Don't worry about it! In a RootRez Managed product, we will contract with local hoteliers for you. In a licensee product, we can consult you in the best practices to reach out to hoteliers and get them onboarded.

What benefits do hoteliers get when listing with RootRez?

Our software was built by hoteliers for hoteliers, so we make it easy for hotels, vacation rentals, and other management services to use our technology. We offer a variety of direct connection options that utilize inventory management systems hotels already use, which means a booking through the RootRez system is entered into their system like any other booking they may have. In many of our models, it is free for them to list and they pay a transaction fee based on productivity ranging from 0% to 20%. In addition, hotels have complete access to their listing and their guest’s information.

What will a customer reservation look like in our system?

Hotels will receive an email every time they get a booking and can then log in to the Central Reservation System to manage it. On the publisher side, you can choose to view reservations made at specific hotels or all the reservations made through your booking engine.

Will I have access to the customer's information?

If you are connected to one of our two-way connectivity providers, the reservation will send directly through to your local system.  

You will be alerted via email every time a reservation is made and can log into your property dashboard, you will see all of the details pertaining to your reservations.

If you have rates loaded within the CRS, you will have to go in and confirm the reservation after receiving the email prompt. 

Custom Content

What content am I responsible for?

Hotels can edit any content on their page excluding the “Why We Like It” and the “What You Need to Know” sections. These custom content filters are filled out by you, the publisher, or our team and are meant to highlight the hotel’s best features and explain how each hotel is relevant to your destination, event, or resort. As the publisher, you will also be responsible for the initial set-up custom content, such as determining the search filters and sharing your website header.

What size should my photos be?

Gallery photos should be horizontal photos sizing 1000 px x 758 px and should be high-definition.

What aspects of the map are customizeable?

You can customize both the colors and pins of the map on your lodging home page. This allows you to add local points of interest, restaurants, bars, etc. to help your guests make informed purchasing decisions.

What are Popular Search Filters?

Popular Search Features are a way for guests to filter their options based on both hotel amenities, such as “on-site restaurant” and “swimming pool”, and destination-specific filters, such as “walk to resort” and “near town square.” These features are completely customizable to your brand.

What are areas?

Areas provide a way for your guests to narrow their selection by geographical area. For large cities, areas can be set up as neighborhoods. For smaller resort towns, they can be set up by base area or other dividers unique to your destination.

Rates and Promotions

Where are rates and availability being pulled from?

Rates are automatically pulled from your inventory source. We offer connectivity to HomeAway (ISI Link), Sabre GDS, TravelClick/iHotelier, Inntopia, Derbysoft, SiteMinder, and the Expedia Affiliate Network. Secondarily, you can choose to add manual room blocks for specific events or promotions using our Central Reservation Software (CRS).

How do I set up a promotion?

There are three different types of promotions within the CRS: discounts, passcodes, and value-adds. Discounts provide a way to offer a specific percentage or dollar amount a hotel’s rooms to all guests, passcodes are a way to offer specific savings to future guests who have a unique code, and value-adds let guests choose from physical add-ons such as t-shirts, hats, gift cards, and more. If hotels are connected via the CRS, TravelClick, or ISI, they can manage any discounts, such as free room nights, percentages off, or a specific dollar amount, through the “promotions” tab in the CRS. Both value-adds and promo codes are set up globally on the publisher side, either by our team in a RootRez managed product or by your team in a licensee product. For promo codes, hotels can choose to opt-in. For value-adds, you can choose to set up minimum purchasing requirements and more to determine who qualifies to receive a gift. Gifts can range from physical goods to tickets to gift cards.

Payment

How much does it cost to get a booking engine?

The cost of a booking engine depends on your goals. Most of our booking engines are self-funded. They are paid for out of hotel commissions and cost you nothing. If you are licensing our software, rates range from 3-5%. If we are managing the booking engine, rates range from 10-15%. There are also options to pay for the booking engine via a fixed monthly fee. How do I get paid?

On the first of each month, an invoice will be sent to hotels. They will have until the 11th to rectify any changes, note cancellations, and pay the corrected invoice. If you are licensing the software, you will collect the funds. If we are managing your booking engine, we will collect the funds and then pass along a check to you.
